Devoted to providing clerical and/or office support activities for the city functions and staff. Incumbents assigned to this class provide more advanced transaction processing involving basic research, verification, reconciliation, and mathematical calculations, as well as responding to internal and external customer questions and inquiries by communicating standard policies and procedures. Incumbents may be assigned to confidential positions or handle confidential materials.

 

An incumbent is responsible for providing administrative support to staff, projects and/or an office or filed function including processing more complex financial and service-related transactions and monitoring their status; processing customer-related transactions such as service requests, registrations and/or cash-handling; preparing documents reports and presentations; entering and retrieving data; and ensuring the accuracy of information contained in databases and systems.

 

Duties/Responsibilities

  • Receives, prepares, processes, and verifies transactions including calculating and providing refunds and recording and submitting financial document such as invoices, bank deposits, credit card expenses, travel authorization and/or purchasing requisitions; or processes and assigns service orders.
  • Enters data for reports, databases, work orders, payroll and/or tracking information; retrieves and complies data.
  • Monitors transactions for progress and perform research as required.
  • Prepares and produces documents, reports and/or presentations from verbal information and/or written drafts; provides general administrative support to staff and/or projects.
  • Receives, processes and routes calls, which may include dispatching calls for service, as assigned.
  • Updates web pages assigned.
  • Opens, logs, and distributes mail.

Minimum Qualifications & Experience

  • Bachelor's degree in Business, Finance, Accounting or Economics
  • Experience with Office 365 
  • Accounts Payable background
  • Excellent verbal and written communication skills
  • Organizational and Time Management skills
  • Three years of related clerical/administrative support experience
  • Incumbents assigned to solid waste transfer station operations require a  Scale Operator’s License.
  • Positions assigned to solid waste require a Transfer Station Specialist Certification within six months of hire date.

Additional Preferred Skills

Some assignments may prefer North Carolina Notary registration.

ADA and Other Requirements

Positions in this class typically require reaching, standing, walking, fingering, grasping, feeling, talking, hearing, seeing and repetitive motions.

Exerting up to 10 pounds of force occasionally and/or a negligible amount of force frequently or constantly to lift, carry, push, pull or otherwise move objects, including the human body. Sedentary work involves sitting most of the time. Walking and standing are required only occasionally.

Work is routinely performed in an indoor office environment.
